ELEMENTARY TEACHERS’ FEDERATION OF ONTARIO INVITES APPLICATIONS FOR THE POSITION OF ADMINISTRATIVE ASSISTANT- HUMAN RESOURCES (.5) & STAFFING (.5) The successful candidate will provide confidential senior administrative support to the Human Resources Officer and the Manager of Staffing. Responsibilities will include, but are not limited to: • Answer/screen telephone calls in a courteous, professional, and timely manner ensuring the confidentiality of conversations and information • Organize and maintain accurate employee files, ensuring confidentiality and compliance with company policies • Respond to employee inquiries, offering clear guidance on HR policies and procedures • Prepare and distribute employment-related correspondence, such as confirmation of employment, probationary period letters, and retirement notices • Maintain and update electronic tracking systems to ensure accurate recording of employee leave entitlements • Ensure the accuracy and integrity of HR databases, generating reports on key HR metrics as needed • Provide administrative support with the recruitment process, including scheduling interviews, preparing documents, preparing and delivering new hire orientation packages • Assist with benefits enrollment, ensuring employees are properly enrolled and have the necessary information about their benefits options • Create and maintain accurate databases related to the assigned area of responsibility with the ability to retrieve and manipulate data quickly and efficiently • Coordinate and support workflows, ensuring projects are completed within established timelines • Assist with project management tasks, including tracking deadlines, monitoring deliverables, and following up with stakeholders to ensure timely completion of projects • Other duties as assigned by the manager or designate, including, but not limited to catering and reception relief Skills required for this position may include, but are not limited to: • Proven ability to handle sensitive employee information with the highest level of confidentiality and professionalism • Strong interpersonal, written and verbal communication, analytical, problem-solving, and decision-making skills • Demonstrated ability to manage multiple projects, prioritize competing deadlines, and adapt in a fast-paced environment • Proactive and detail-oriented, with the ability to anticipate needs and take initiative independently • Advanced technological skills in Microsoft Office 365 with the ability to quickly learn and adapt to new software • Ability to safely lift approximately 10 lbs or more The expected compensation range for this position is $69,898 - $88,496 from Scale B2-B7.
