Our client, a growing and well-established wealth management and financial services firm, is seeking a highly organized and detail-oriented Marketing Associate to join their team. This individual will play a key role in supporting advisors, optimizing operational processes, and delivering an exceptional client experience.

Key Responsibilities
Client Relationship Management (CRM)
• Take ownership of the firm's CRM platform (Zoho), ensuring client records remain accurate, complete, and up to date.
• Manage CRM workflows, automations, and ongoing data integrity.
• Identify opportunities within the CRM to improve client engagement and business development initiatives.
• Generate and maintain monthly prospecting and activity reports.
Client Service & Compliance
• Prepare detailed meeting notes and maintain accurate client documentation.
• Complete data entry with a high degree of accuracy while ensuring compliance requirements are met.
• Collect and organize documentation required to support client accounts and regulatory obligations.
Policy Administration
• Prepare in-force policy illustrations and client reviews.
• Process policy changes, including beneficiary updates, ownership changes, and other servicing requests.
• Maintain accurate records while ensuring timely completion of client requests.
Calendar & Advisor Support
• Coordinate advisor calendars and proactively manage client appointments.
• Ensure meetings are efficiently scheduled and all required materials are prepared in advance.
Operations & Process Improvement
• Review, audit, and improve existing operational workflows.
• Assist in developing new processes that enhance efficiency and elevate the overall client experience.
• Support continuous improvement initiatives across the practice.
Qualifications
Required
• 2–5 years of administrative or operations experience, preferably within financial services.
• Strong analytical, organizational, and problem-solving skills.
• Excellent verbal and written communication skills.
• Exceptional attention to detail with the ability to manage multiple priorities.
Preferred
• Bachelor's degree or college diploma.
• LLQP designation (or working toward it) is considered an asset.
• Experience using CRM platforms and other cloud-based technologies.
• Previous experience supporting financial advisors, insurance professionals, or wealth management teams is highly desirable.
