Job Overview Vena Solutions is seeking a highly organised and proactive Administrative Assistant to join our team. This is a Full-Time, remote position based in Calgary, Canada. At Vena Solutions, we provide a cutting-edge, AI-powered financial planning and analysis (FP&A) platform that integrates seamlessly with Microsoft technology to revolutionise business planning. The successful candidate will play a crucial role in providing comprehensive administrative support, ensuring the smooth and efficient operation of our daily activities. You will be an integral part of a dynamic team dedicated to helping organisations streamline their workflows and achieve greater financial insight. Responsibilities • Manage and maintain executives' schedules, appointments, and travel arrangements. • Organise and coordinate virtual meetings, including preparing agendas and taking minutes. • Handle and screen incoming communications, redirecting them to the appropriate person or department. • Prepare and edit correspondence, reports, presentations, and other documents. • Maintain and organise digital filing systems, ensuring documents are easily accessible. • Assist with basic data entry and the preparation of expense reports. • Act as a point of contact for internal and external stakeholders, demonstrating a high level of professionalism. • Provide general administrative support to ensure the team's operational efficiency. Qualifications • Proven experience in an administrative or executive assistant role. • Exceptional proficiency in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) is essential. • Outstanding organisational and time-management skills with the ability to prioritise tasks effectively. • Excellent verbal and written communication skills with meticulous attention to detail. • A proactive and resourceful problem-solver with the ability to work independently in a remote environment. • Strong interpersonal skills and the ability to build relationships with stakeholders at all levels. • Experience working within a technology or financial services company is advantageous but not required.
