Why HR Specialist (Projects & Systems)?
This is a unique opportunity to contribute to the transformation of Human Resources within a growing organization. Reporting to the HR Manager, over the next two years, you will gain hands-on experience supporting strategic initiatives that extend beyond traditional HR operations, including HRIS optimization, organizational change, process improvement, performance management, and compensation modernization. Working closely with the HR Manager, you will help shape sustainable HR practices while building valuable experience in HR transformation that will support your long-term professional growth.

Key Responsibilities:
HR Transformation and Project Coordination
• Coordinate the implementation of HR transformation initiatives that support organizational effectiveness, including HRIS optimization, performance management, compensation, policy modernization, and other strategic HR projects.
• Develop and maintain project plans, timelines, milestones, action items, and status reports to support timely project delivery.
• Coordinate project activities and facilitate collaboration among internal stakeholders, external consultants, vendors, and project teams.
• Monitor project progress, identify implementation issues or risks, and provide regular project updates to the HR Manager.
• Assist in evaluating project outcomes and recommend opportunities for continuous improvement.
HR Systems and Process Improvement
• Support the implementation, optimization, and ongoing administration of the Human Resources Information System (HRIS).
• Assist with system configuration planning, workflow documentation, data validation, testing, and implementation activities in collaboration with HRIS implementation partners.
• Coordinate HR data audit, cleansing, migration, validation, and ongoing data integrity activities.
• Coordinate User Acceptance Testing (UAT), document testing results, and support issue resolution.
• Track, document, and coordinate resolution of HRIS issues with vendors, consultants, and internal stakeholders.
• Develop, maintain, and improve HR workflows, process maps, and system documentation.
• Identify opportunities to improve HR systems, processes, and administrative efficiency through automation and standardization.
HR Policy and Compliance
• Assist in reviewing, developing, and updating HR policies, procedures, and related documentation to support organizational objectives and legislative compliance.
• Monitor changes to applicable employment legislation and HR best practices and support updates to HR policies and practices accordingly.
• Develop and maintain Standard Operating Procedures (SOPs), guidelines, forms, templates, and process documentation.
• Support HR governance by maintaining accurate documentation, project records, version control, and implementation records.
• Assist in ensuring HR programs and initiatives align with organizational policies, internal controls, and applicable legislation.
Change Management Support
• Coordinate communication plans supporting HR transformation initiatives and organizational changes.
• Develop communication materials, job aids, and reference resources for managers and employees.
• Coordinate and facilitate training sessions and system demonstrations related to HR initiatives.
• Gather employee and manager feedback throughout implementation projects and identify opportunities to improve adoption and user experience.
• Support organizational readiness by assisting managers and employees through periods of change.
HR Analytics and Reporting
• Prepare project dashboards, implementation reports, and HR metrics to support project monitoring and organizational decision-making.
• Analyze HR and HRIS data to identify trends, implementation progress, and opportunities for continuous improvement.
• Support development of reports related to workforce data, performance management, HRIS utilization, and other HR initiatives.
• Maintain project documentation, issue logs, risk registers, and implementation records.
HR Operations Support
• Support day-to-day HR operations and administrative activities, including recruitment coordination, onboarding, offboarding, employee engagement initiatives, and payroll coordination.
• Maintain accurate employee data and documentation in HRIS and personnel files.
• Assist in preparing HR communications, reports, presentations, and internal documentation updates.
• Assist with HR reporting and data tracking as needed to support organizational decision-making.
• Respond to employee and manager inquiries related to assigned HR projects and programs.
Performs other related duties as assigned, consistent with the scope and level of the position.
Qualifications and Skills:
· 2 to 4 years progressive experience in Human Resources; HRIS, HR operations, or project coordination.
· Post-secondary education in Human Resources, Organizational Development, Business Administration, or a related discipline.
· CPHR designation or candidate preferred.
· Working knowledge of BC and Canadian employment legislation and HR best practices.
· Demonstrated experience in HRIS implementation or HR systems administration (experience with UKG preferred).
· Experience supporting organizational change initiatives, such as HR process improvements, policy updates, or structural changes.
· Strong project coordination, organizational, and communication skills, with the ability to manage multiple priorities and deadlines.
· Experience tracking project milestones and maintaining project documentation.
· Experience documenting workflows, procedures, or process improvements, and supporting training or information sessions for employees.
· High level of confidentiality, discretion, and cultural sensitivity when handling employee information and organizational matters.
· Proficiency in Microsoft Office and other basic software for administrative tasks.
· Strong analytical and problem-solving skills, with attention to detail.
· Ability to work independently while collaborating effectively with organization-wide departments.
· Experience working with Indigenous communities or organizations is considered an asset.
Working Conditions:
· Ability to manage complex projects with multiple stakeholders and evolving timelines

Travel: Limited travel may be required for meetings or training
Working Hours: 40 hours per week, with occasional overtime as required
Work Environment: Hybrid work arrangement. Following successful probation, employees may be eligible to work up to two days remotely per week, with three days per week in office.
Expected Start Date: As soon as possible; willing to wait for the right candidate
Compensation: $33.00 - $37 per hour, Extended Health & Dental Benefits and Pension,
