As a Building Systems Administrative Assistant, you will provide administrative and operational support to ensure effective contract management, vendor coordination, procurement, and financial processes within the Calgary Transit Building Systems team. Primary duties include:
• Create requisitions, maintain multi-year purchase orders and oversee vendor payments.
• Coordinate with internal and external vendors to resolve issues, ensure compliance, and manage administrative activities.
• Initiate, modify, and close contracts by preparing reports and submitting appropriate documentation to Supply Management.
• Provide technical support for negotiations of new agreements, renewals, and extensions.
• Communicate policy changes and implementation details to vendors.
• Collaborate with Building Systems Team Leads to onboard new vendors or offboard existing vendors.
• Track performance metrics for service providers in comparison with contract requirements.
• Monitor contract lifecycle reports to ensure timely renewals and initiate sourcing for new agreements.
• Collaborate with Team Leads to create the specification, scope of work, deliverables, and recommended evaluation criteria for RFx documents.
• Prepare and submit souring requests with appropriate documentation to begin the procurement process and establish contracts for goods and services.
• Partner with internal partners to address safety or environmental concerns related to service delivery and procurement.
• Manage floor plans, support seating assignments, and coordinate procurement and installations for Calgary Transit facilities.
• Ensure the fleet vehicles are sent for maintenance, and appropriate coverage is provided for vehicle users.
• Administer Building Systems invoice approval process, ensure accurate coding, and generate financial reports.
Qualifications
• A completed 2-year diploma in Business Administration, Supply Chain Management or a related field and at least 3 years of experience including 1 year of experience in contract administration, facilities management or a related operational environment.
• A valid Class 5 Driver's License (or provincial equivalent) with no more than 6 demerits, and no current suspensions or charges pending.
• Intermediate proficiency with Microsoft Office (Word, Excel and PowerPoint).
• Experience using Infor Enterprise Asset Management (EAM) and Financial and Supply Chain Management (FSCM) would be considered an asset.
• The successful applicant will be a strategic thinker with strong interpersonal skills, the ability to manage multiple priorities and collaborate with multiple internal and external partners.
