Sales & Business Administrative Assistant
Big Brands Inc. is seeking a proactive and detail-oriented Sales & Business Administrative Assistant to support executive leadership and business operations. This role blends administrative and operational responsibilities while also providing exposure to high-level business development, brand management, and key client interactions. The ideal candidate will be highly organized, tech-savvy, and capable of managing multiple priorities with accuracy.

Big Brands Inc. is a Canadian distributor of trial & travel sized products launched in 2014 with a growing team of over 30 people. Our innovative retail-ready boxes known as Gravity Packs set us apart from competitors and help retailers keep shelves organized, easy to shop, and visually appealing for customers.
We specialize in building partnerships with both well-known and emerging brands to deliver convenience and quality to our retail partners (some of which include Walmart, Sobeys, and Canadian Tire!). In this role, you'll gain an in-depth understanding of our business model, our clients, and how we position ourselves as a valuable partner in the market.
The Role:
As a Sales & Business Administrative Assistant, you'll work closely with the operations team to manage product listings, generate sales reports, create marketing content, and handle sales representative interactions.
Responsibilities include maintaining product information in NetSuite, creating reports and presentations, supporting sales representatives, coordinating retailer requests, assisting with product launches, and helping improve internal processes.
You'll work regularly with multiple departments including Sales, Production, Shipping, Receiving, and Accounting to keep projects on track, solve problems, and ensure our customers receive the best possible service.
This role is ideal for someone who enjoys variety, takes pride in accuracy, is comfortable learning new technology, and likes solving problems. No two days are exactly the same.
Key Responsibilities:
• Manage new product setups and listings, ensuring all required information is accurately entered across NetSuite, customer portals, and GS1.
• Ensure product, pricing, and customer records remain accurate, complete, and up to date across internal systems.
• Manage product images and marketing assets to ensure consistent and accurate product presentation.
• Generate product pricing & specification lists.
• Support the CEO and COO with reporting, projects, research, and day-to-day business initiatives.
• Prepare sales presentations, product catalogs, and other marketing content.
• Perform general administrative duties such as data entry & document management in NetSuite system.
• Attend sales meetings with the CEO and sales team to assist with meeting documentation and project follow-up.
• Generate and analyze reports to support strategic decision-making.
• Coordinate retailer submissions, product listings, and planogram assortment updates.
• Participate in continuous improvement initiatives to optimize workflows and efficiency.
What We're Looking For:
• Ability to learn new programs and processes quickly.
• Highly motivated with strong organizational skills and the ability to prioritize multiple projects and deadlines.
• Working knowledge of Microsoft Excel and/or Google Sheets.
• Strong attention to detail and ability to manage data with accuracy.
• Solid understanding of general business operations, including order processing, pricing structures, invoicing, and margin calculations.
• Experience working with marketing assets, image editing, sell sheet creation, catalogs, etc.
• (Optional) 1+ years of experience in an administrative or operations role is considered an asset.
• (Optional) Experience with CRM (Customer Relationship Management) and ERP (Enterprise Resource Planning) systems (e.g., NetSuite).
• (Optional) Experience with SQL or other coding languages is considered an asset.

• Starting Wage: $22.00-$24.00/hr
