About the job In this position, you will: • Process new appeals and applications received by the Tribunal, creating the physical and electronic file system and issuing acknowledgment letters to the case parties in accordance with the Tribunal's performance targets • Process the collection of appeal and application fees • Liaise with the Tribunal's Scheduling Coordinator and municipal contacts throughout the Province to secure venues for the Tribunal's various hearing events • Provide administrative support services to the management team, including but not limited to the preparation of statistical and caseload information • Provide various administrative and clerical support services to a team of Case Coordinator-Planners to ensure the accurate and timely management of every Tribunal file - delivery of files to the Tribunal's adjudicators and the issuance of Notices to the public in accordance with the Tribunal's performance standards What you bring to the team Mandatory requirements • Typing to 50 wpm. • You must possess oral and written French language skills at the advanced level. Your proficiency level will be confirmed before hire. Administrative Knowledge and Experience You have: • knowledge of office administration policies, procedures and practices • experience providing effective and timely clerical and administrative support • experienced in creating and maintaining electronic and manual filing systems • experience in providing intake/file assessments and mail management responsibilities • abilities in arithmetic to calculate and request accurate appeal/application fees Organizational, Reasoning and Problem Solving Skills You have: • organizational and coordination skills • experience in prioritizing a large volume of work in a fast paced environment with attention to detail and accuracy • the ability to reason and problem solve to determine issues requiring immediate attention, to prioritize and organize work to meet conflicting deadlines • the ability to reason and problem solve in arranging logistics for hearings and meetings and related requirements Technical Knowledge You have: • the ability to acquire knowledge and understand local government structures as they relate to OLT's hearings and appeals processes • the ability to interpret and apply relevant sections of the OLT's governing legislation (e.g. Planning Act, Development Charges Act, Ontario Heritage Act, Expropriations Act, etc) • the ability to interpret and apply OLT's rules, processes and administrative protocols to accurately carry out administrative functions Communication and Interpersonal Skills You have: • demonstrated oral communication skills to provide accurate, non-confidential information on the Tribunal's Rules, practices and processes and case specific information to various stakeholders, including Tribunal adjudicators in the provision of case management support • the ability to compose routine correspondence, form letters, template notices, and conceptualization from general verbal and written instructions • the ability to work effectively both independently and in a team environment, through effective communication and collaboration with team members Computer Skills: • You have demonstrated knowledge with office software applications such as word processing, case management/database, email and spreadsheet applications (e.g. Word, Outlook and Excel) to prepare correspondence, reports and presentations Don't meet every qualification?
