We are seeking a HR Associate to join our Vancouver studio.
Status: Full-Time Employee, Non-exempt (hourly)

GENERAL FUNCTION
The HR Associate facilitates human resources processes at the Vancouver studio, supporting onboarding with assistance from the broader team, assisting with general employee inquiries, and supporting the HR Department in fostering positive employee relations. The HR Associate demonstrates strong time management skills, maintains a high level of attention to detail in all assignments, and builds and sustains strong collaborative relationships with HR teams across other Titmouse locations as well as other administrative departments.
KNOWLEDGE, SKILLS AND REQUIRED ABILITIES
• 1–3 years of professional HR experience.
• HRIS systems experience (employee data management and reporting) is an asset.
• Excellent organizational skills.
• Outstanding verbal and written communication skills.
• Ability to maintain confidentiality over all matters and proprietary information.
• Ability to prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
• Highly detail-oriented, adaptable, and flexible.
• Strong problem-solving and decision-making skills with meticulous attention to detail.
• Ability to work well under pressure and meet tight deadlines.
• Proficiency with Google Suite, especially Sheets.
ESSENTIAL DUTIES AND RESPONSIBILITIES
New Hires/Rehires: Participate in new hire orientations. Draft and send offer letters as necessary. Convey start paperwork to employees on their first day, collect and authorize required identification documents and assist employees with filling out the necessary paperwork.
HRIS: Proficiency at running reports from BambooHR and able to run a variety of reports as requested. Thoughtful updates to the HRIS and supporting other HR team members with the same. Set up new employees in HRIS with appropriate logins and troubleshoot when/if they have problems.
HR CALENDARS: Contribute to the HR Department calendars as required for the location and as a member of the HR team. (The Department calendars track various matters that occur regularly throughout the year as well as tracking new hires/rehires/changes/end dates for every week.)
Payroll Support: Assist with payroll preparation by reviewing and organizing supporting documents.
Employee Support: Act as an advocate for employees by responding to basic questions and escalating issues or concerns to the Human Resources Manager and Vice President of Human Resources as appropriate. Exercise discretion and sound judgment when assessing employee situations. Respond to employee queries related to onboarding, systems, and documentation, and draft and send employment verification letters as needed.
HR FILING: Keep HR files organized in the HRIS and shared drives, and make sure only senior HR leaders (and other senior leaders when needed) can access them.
SOPs: Continue to maintain an SOP library for the HR Department about all regular tasks in order to streamline the ability for new team members to assimilate quickly and thoroughly.
BENEFITS: Assist with administering employee group benefits.
TRAINING: Assign and track training as required. Assist employees to access training modules and remind them about completion; update HRIS re completed training.
Reporting & Communication: Prepare regular reports on employee starts, changes, and terminations. Send standard onboarding and offboarding notices to employees and project teams as needed.
EVENTS: Help plan and oversee events led by the HR Department, help to create a fun and engaging environment.
