About the position
This role is part of our Global Studios team. We create emotive yet conversion-focused ideas, products and campaigns at scale and speed. Our specialty is hyper-personalised, digital communications that change perceptions, shape new behaviours, and shift market share for our clients. We are looking for a (Senior) Operations Manager who will work closely with both DEPT®’s internal teams and our client’s internal teams to integrate the Asana system with production workflows - designing one unified, scalable creative operating system end to end. You will build and implement a unified operating system that connects the client’s Asana-based intake and prioritization with DEPT®’s production, resourcing and scope management - creating one seamless workflow from brief to delivery.
Responsibilities
• Ensure creation of high-quality, scoped briefs, with a clean kickoff process across both client and DEPT®’s teams
• Templatize timelines based on project type to streamline project timeline creation
• Make Asana the control tower as the single intake and visibility layer
• Connect Asana with DEPT®’s timelines, resourcing, and scope tracking
• Define a clear source of truth at each stage, eliminating duplicate or conflicting workflows
• Build simple governance for rescoping, prioritization and trade-offs
• Align DEPT® and client stakeholders on unified one way of working
• Standardize expectations across markets
• Design the system to enforce behavior across both DEPT® and client team
• Develop and implement automation to reduce manual project management overhead and speeds up execution
• Train teams, document system, and create a self-sustaining machine via an operations playbook / training module
Requirements
• Experience in developed, implementing and setting up creative and marketing product operational systems
• Experience in workflow design and agency integration
• Deep Asana (or equivalent tooling) expertise in operating systems
• Ability to drive alignment across internal teams and external partners
• Understanding of both client side and agency workflows in order to implement operational development and change
• Strong project management skills
• Proven experience rolling out new workflows and product

• CRM marketing background preferable
