Position Title: Bilingual Executive Assistant Salary & Benefits: $58K-77K, bonus eligible, pension Position Status: Current Vacancy Location: Downtown Ottawa OR GTA Work Model: Hybrid We are seeking a highly organized, professional, and Bilingual Executive / Administrative Assistant to provide executive-level support to the Senior Vice President, Internal Audit, while also supporting the Vice President, four Directors, and the broader Internal Audit team. Leadership & Cross-Functional Support • Provide administrative support to other senior executives and leadership teams during peak periods, vacations, or special initiatives. • Build strong working relationships across departments while acting as a key point of contact for internal and external stakeholders. • Coordinate cross-functional meetings and support organizational initiatives requiring executive-level administration. • Assist with onboarding activities, event coordination, and departmental communications when required. • Foster accountability across the team by tracking deliverables, following up on action items, and ensuring deadlines are met. The Ideal Candidate • Fully bilingual in English and French, with exceptional written and verbal communication skills. • 4+ years of experience supporting executives and teams in a fast-paced environment. • Highly organized and detail-oriented, with the ability to balance competing priorities and manage multiple deadlines. • Experienced in coordinating meetings, managing calendars, and preparing professional documentation with discretion and sound judgment. • Brings maturity, professionalism, and a collaborative approach to supporting senior leadership and a broader team. • Comfortable holding others accountable, following up on deliverables, and ensuring priorities remain on track. • Takes pride in their work, builds strong relationships, and contributes positively to team culture. • An experienced Executive Assistant or a strong Administrative Assistant ready to take the next step into an executive support role. • Proactive, resourceful, and known for being someone who can simply "get things done." What Will Make You Stand Out • Experience supporting both C-suite executives and a team environment. • Exceptional bilingual communication skills in English & French with the ability to confidently draft professional correspondence and interact with stakeholders in both official languages. • Advanced Microsoft Office skills, particularly Outlook, Word, Excel, PowerPoint, and Microsoft Teams, with experience preparing executive-level reports and presentations. • A reputation for professionalism, sound judgment, and discretion, combined with the ability to anticipate needs, manage competing priorities, and remain calm under pressure. • A positive attitude, strong sense of humor, and a reputation for building relationships and getting things done. - AI may be used to support certain administrative aspects of our recruitment process.
