About the position: We are seeking an experienced Administrative Operations Manager to provide the operational, commercial, and administrative structure behind our boutique hotel. This role is responsible for revenue management execution, hotel systems, financial coordination, payroll preparation, compliance, documentation, and process improvement. It is primarily a behind-the-scenes position, with occasional involvement in hotel operations and guest support when needed. Reporting directly to the hotel owners, the Administrative Operations Manager will work independently, turn priorities into action, and ensure the hotel’s internal operations are accurate, organized, and commercially sound. Key Responsibilities: Revenue Management and Commercial Performance: • Lead day-to-day revenue management and pricing execution. • Manage rates, restrictions, availability, and inventory controls through PriceLabs, Cloudbeds, and connected channels. • Monitor occupancy, ADR, RevPAR, booking pace, pickup, segmentation, and demand patterns. • Prepare forecasts, revenue reports, and performance recommendations for the hotel owners. • Manage OTA administration and help improve channel performance and revenue integrity. • Support direct-booking, corporate, group, and extended-stay strategies. • Identify commercial opportunities and independently develop initiatives to improve performance. Systems and Process Management: • Own and optimize hotel systems, including Cloudbeds, PriceLabs, Operto, Whistle, OTAs, and related platforms. • Streamline workflows and improve connections between hotel systems. • Maintain SOPs, checklists, internal controls, and operational documentation. • Ensure processes are practical, consistently followed, and aligned with the hotel’s service standards. • Troubleshoot system and process issues and coordinate solutions with vendors and internal stakeholders. Administrative Operations: • Coordinate scheduling administration, time and attendance records, payroll preparation, and employee documentation. • Ensure payroll information is complete and ready for owner approval. • Maintain organized records, filing systems, contracts, and internal communication channels. • Support employee onboarding administration and training records. • Manage multiple priorities with accuracy, sound judgment, and appropriate follow-through. Financial Coordination and Reporting: • Prepare operational and revenue information for budgeting, forecasting, and financial review. • Track expenses, purchasing, inventory, vendor costs, and budget variances. • Support reconciliations, month-end reporting, and financial documentation. • Produce clear, accurate, and timely reports for the hotel owners. • Maintain strong internal controls and identify revenue integrity concerns. Compliance, Maintenance, and Vendor Coordination: • Maintain compliance, safety, incident, and audit documentation. • Support compliance with BC employment standards and WorkSafeBC requirements. • Coordinate maintenance records, preventive maintenance tracking, vendor schedules, and follow-up. • Maintain organized vendor records, agreements, and operational documentation. • Deliver training related to systems, compliance, safety, and administrative procedures. What You Bring: • At least five years of hotel operations or hotel administration experience. • Demonstrated revenue management and commercial experience. • Strong understanding of hotel operations, distribution channels, and OTAs. • Excellent analytical, organizational, and problem-solving skills. • Confidence working with reports, performance data, systems, and financial information. • Strong technological aptitude and the ability to learn new platforms quickly. • Fluent written and spoken English. • Ability to work independently and develop initiatives in a dynamic environment with shifting priorities. • Clear, professional communication and the confidence to work directly with hotel ownership. • Experience with Cloudbeds, PriceLabs, Operto, Whistle, payroll preparation, BC employment standards, or WorkSafeBC is preferred. Additional languages are an asset. Schedule and Location: This is a full-time, permanent position, generally scheduled Monday through Friday from 9:00 a.m. to 5:00 p.m. Occasional evening or weekend availability will be required based on hotel operations. The role is on-site, working from The Como Hotel in Vancouver’s West End or the company’s Metrotown office in Burnaby, as agreed.
