Why This Role Matters
As a Special Order & Product Data Specialist, you play an important role in connecting our sales team, suppliers, and customers. You help source specialized and custom tile products, support accurate project pricing, and ensure product information is properly maintained in our ERP system. Your work directly supports the sales process by helping ensure special order products are sourced, priced, documented, and delivered accurately. This role is ideal for someone who is detail-oriented, comfortable working with numbers, and able to manage communication between internal teams, suppliers, and freight partners.
What You’ll Do
• Source specialized, non-stock, and custom-made tile products for projects and provide sales representatives with product information and samples
• Negotiate pricing with manufacturers and calculate landed costs and selling prices for projects in Canada and the U.S.
• Process purchase orders with suppliers, ensuring accuracy of pricing, quantities, lead times, and order details
• Coordinate shipping with freight forwarders and communicate product arrival updates to the sales team once materials are received in the warehouse
• Provide regular updates to internal stakeholders regarding backorders, supply chain delays, and custom production schedules
• Provide custom cut pricing to the sales team as required
• Obtain and maintain technical documentation from suppliers, including technical data sheets, MSDS/SDS sheets, and LEED documentation
• Create and maintain item codes in P21 for stock and non-stock items
• Ensure product and supplier information is accurate and up to date in the ERP system
• Support other related duties and responsibilities as required
What You Bring
• Minimum 3 years of experience in project pricing, purchasing, special orders, data maintenance, or a related role
• Experience working with ERP systems; Prophet 21 (P21) experience is considered a strong asset
• Strong mathematical skills with the ability to calculate margins, markups, landed costs, and area conversions
• Strong negotiation skills with the ability to work effectively with manufacturers, suppliers, and internal stakeholders
• Highly detail-oriented with strong accuracy in pricing, product setup, and order processing
• Strong communication skills with the ability to provide clear updates to sales, warehouse, and purchasing teams
• Ability to manage multiple priorities, follow up on open items, and work in a fast-paced environment
• Experience in tile, stone, flooring, building materials, distribution, or wholesale is considered an asset
