NAIT’s Facilities Management and Development (FMD) division is seeking an experienced Planning and Project Analyst to help shape the newly established Infrastructure Initiatives team. This role sits at the intersection of infrastructure planning, business analysis, process improvement, analytics, and technology.
Reporting to the Manager, Infrastructure Initiatives, the successful candidate will support the planning, coordination, and governance of infrastructure initiatives across FMD. The role is responsible for monitoring initiative progress, facilitating stakeholder engagement, requirements gathering, data analysis reporting, and supporting cross-functional teams in delivering strategic priorities and operational improvements.
The Planning and Project Analyst will serve as a key liaison between FMD and Information Technology Services (ITS) to develop reporting and analytics solutions, support system and process improvement initiatives, and provide insights that enable data-driven decision-making. Key Responsibilities
Infrastructure Planning & Governance
• Support infrastructure initiatives through planning, coordination, reporting, and governance activities across FMD portfolio.
• Support infrastructure planning activities including project intake, prioritization, budgeting support, forecasting, lifecycle planning, roadmap development, and governance processes.
• Assist in monitoring infrastructure initiative progress, risks, dependencies, and resource requirements to support effective planning and decision-making.
Business Analysis & Process Improvement
• Collaborate with business units and stakeholders to gather, assess, and document operational requirements, business needs, process improvements, and infrastructure planning priorities.
• Identify opportunities for operational efficiencies and continuous improvement through process mapping, workflow analysis, documentation, and standardization initiatives.
• Develop and maintain operational procedures, templates, standards, reference materials, and process documentation.
Project Coordination & Initiative Support
• Coordinate and support infrastructure initiative activities by tracking milestones, deliverables, timelines, action items, dependencies, and project status updates.
• Support project teams and stakeholders in ensuring timely follow-up, issue resolution, and alignment of initiative activities.
Facilitation & Stakeholder Engagement
• Facilitate meetings, workshops, stakeholder discussions, and planning sessions to support cross-functional collaboration, decision-making, and initiative alignment.
• Coordinate stakeholder communications, updates, and follow-up activities to support accountability, transparency, and effective engagement across infrastructure initiatives.
Analytics & Reporting
• Analyze operational and project-related data to develop reports, dashboards, metrics, trend analysis, and business insights using tools such as Power BI, SharePoint, ReADY and AiM systems, and other systems as required.
• Prepare executive summaries, presentations, briefing materials, and status communications for leadership, committees, and stakeholders.
• Provide analytical support for operational planning, infrastructure initiatives, and portfolio reporting activities across FMD.
Skills & Abilities
• Demonstrated experience in infrastructure planning, business analysis, project coordination, or related functions, including requirements gathering, process analysis, and translating business needs into actionable solutions.
• Strong analytical and problem-solving skills, with the ability to analyze operational, project, and business data to identify trends, risks, opportunities, and recommendations.
• Experience monitoring initiatives, tracking milestones, dependencies, risks, and action items to support effective planning and decision-making.
• Skilled in facilitating meetings, workshops, stakeholder discussions, and requirements-gathering sesions to support collaboration, alignment, and continuous improvement.
• Experience documenting and mapping business processes, workflows, procedures, standards, and operational requirements.
• Strong organizational and project coordination skills, with the ability to manage multiple priorities and work effectively across cross-functional teams.
• Proficiency with Power BI, SharePoint, Visio, Microsoft Office applications, and enterprise business systems.
• Knowledge of continuous improvement methodologies, process optimization, and change management principles is considered an asset.
Qualifications
• Degree or Diploma in Business, Information Technology, Project Management, or a related discipline. Equivalent combinations of education and experience may be considered.
• Certification or formal training in Business Analysis, Project Management, Lean, Six Sigma, or a related discipline is considered an asset.
• Minimum five (5) years of experience in business analysis, Data Analytics, Project Management, Business Solutions, or a related field.
• Experience developing reports, dashboards, business insights, and analytics solutions using Power BI or similar reporting tools is a strong asset.
• Experience supporting system implementations, enhancements, governance processes, or organizational improvement initiatives is considered an asset.
• Experience with AssetWorks AiM, ReADY, SharePoint, Workday, Microsoft Power Platform (Power BI, Power Apps, Power Automate), or similar enterprise systems is a strong asset.

Remuneration
Refer to salary range noted on this posting, plus a comprehensive benefits package.
The compensation range for this job posting is : $77,036.96 - $102,057.54
