Position summary: We are seeking a detail-oriented and proactive Accounts Payable Lead to oversee the full-cycle accounts payable function and support a high-volume, multi-property portfolio. This role goes beyond transactional processing — you will lead AP operations, ensure compliance, improve processes, and act as a key point of contact for vendors, internal teams, and leadership. You will also support month-end activities, audits, and drive efficiency across AP workflows. Key Responsibilities • Accounts Payable Operations • Oversee end-to-end AP cycle including invoice intake, coding, validation, and posting • Ensure accurate 2-way / 3-way matching with POs, contracts, and work orders • Validate HST treatment and correct property/GL allocations • Monitor high-volume invoice processing across multiple properties • Leadership & Oversight • Act as the primary point of contact for AP-related queries from vendors and internal stakeholders • Provide guidance and support to junior AP team members (if applicable) • Review work for accuracy, completeness, and compliance with company policies • Drive accountability and ensure deadlines are consistently met • Vendor Management & Compliance • Maintain strong vendor relationships and resolve escalations proactively • Ensure proper vendor onboarding including insurance, contracts, and documentation • Monitor compliance with payment terms, contracts, and internal controls • Identify and mitigate risks related to duplicate payments, errors, or fraud • Payments & Cash Flow Coordination • Prepare and review EFT/ACH and cheque runs • Optimize payment scheduling to balance vendor relationships and cash flow • Reconcile vendor statements and investigate discrepancies • Month-End & Reporting • Lead AP month-end close activities including accruals, prepaid schedules, and aging analysis • Support audits by maintaining clean, organized documentation • Provide reporting insights on AP trends, aging, and outstanding liabilities • Utilities & Property-Specific Accounting • Oversee utility invoice tracking and validation across properties • Review allocations, meter readings, and identify anomalies • Support tenant chargebacks and recoveries where applicable • Systems & Process Improvement • Maintain accuracy in accounting systems (Yardi, MRI, Sage 300, or similar) • Identify inefficiencies and implement process improvements and automation • Strengthen internal controls and documentation practices • Leverage Excel (lookups, pivots) for reconciliation and reporting Qualifications & Experience • 3–6+ years of Accounts Payable experience, preferably in property management or real estate • Proven experience handling high-volume AP environments • Prior experience in a lead or senior AP role is strongly preferred • Working knowledge of Yardi, MRI, Sage 300, or similar systems • Strong understanding of Canadian HST regulations and accrual accounting • Advanced Excel skills (lookups, pivot tables, reconciliations) • High attention to detail with strong problem-solving skills • Ability to manage deadlines, prioritize tasks, and handle multiple stakeholders Kipling supports equal opportunities and invests in a diverse and multicultural work force that values individuals with unique personalities, goals, backgrounds and views.
