Confidential Role. A Family Office in Montreal is looking for a dynamic and driven individual to join its team in the role of an Associate Director, Finance and Operations. This individual plays a vital role within the Family Office, working closely with senior leadership, the investment team, the Principals, and a range of external investment partners and professional services firms. Positioned at the intersection of multiple teams and workstreams, this role is essential to ensuring the smooth and effective functioning of the organization. The successful candidate will proactively manage day-to-day operations, evaluate and improve existing workflows, and help build scalable processes with a forward-thinking mindset toward technology adoption and automation, including emerging Family office software platforms that support the continued growth of the Family Office. This position requires strong organizational skills, attention to detail, and the ability to collaborate across functions. The role offers broad exposure to all aspects of a Family Office and provides meaningful opportunities for professional development and career growth. The Finance and Operations Associate Director will also have frequent, direct interaction with the Principals (family members), offering a unique perspective into the strategic and operational priorities of the organization. Key Responsibilities: Quarterbacking and coordination: • Coordinating of all accounting, taxes, payables, and bookkeeping functions across the Family Office. • Maintain and manage relationships with the Family Office/Family’s external accountants, financial planners, performance software providers, external back office, bookkeepers, relevant tax agencies, and banking relationships. • Coordination with operations and investment functions on cash management and treasury, liquidity management, and providing accurate reporting and analysis across all assets and entities. • Coordinate custody account setup and asset transfer operations with external custodians and investment managers, ensuring accurate reconciliation and cost basis tracking. Processes and controls: • Implement internal processes and controls to ensure the efficient operation of Family Office around financial and accounting systems, processes, tools, and control systems. • Implement and continuously improve internal processes and controls to ensure the efficient operation of the Family Office across financial and accounting systems, with a particular focus on leveraging technology, automation, and emerging software platforms to reduce manual workflows and drive ongoing operational efficiencies.Suggest continuous improvement of processes to ensure ongoing Family Office operational efficiencies; proactively provide input and leadership on issues and initiatives impacting Family Office performance. • Ensure maintenance of appropriate internal controls and financial procedures. • Management, maintainnance and organizing of all Family Office related documentation. Accounting, expense, and cash management: • Managing of expense process, incl. all payables and receivables for Family Office. • Coordination with external accountants and the Family members on strategic planning for the Family Office and Family branches. • Ensure appropriate, timely financial compliance and reporting. • Running accounting and bookkeeping as needed, and reviewing month-end closing activities across general ledger, balance sheet reconciliations and cost allocations. • Identifying vendor payment discrepancies and initiating dispute resolutions when necessary. Financial planning and analysis: • Management, tracking, and reporting on the annual budget process for Family Offices and Family branches. • Provide financial analysis, modeling, projections, and ad hoc reports for various projects and planning initiatives; interpret financial information and data to facilitate decision-making to achieve both short and long-term Family Office objectives. • Portfolio Reporting and Monitoring: Produce, review, and distribute regular portfolio reports across all assets and entities. Coordinate with investment managers and performance software providers to ensure accuracy and timeliness of reporting. • Support Family members and Principals with ad hoc financial and operational requests, demonstrating responsiveness and discretion at all times. Ad-hoc special projects as needed. Education & Work Experience: • Undergraduate or relevant degree from top tier university. • 3-8 years of relevant work experience. • A CPA is not essential, but will be viewed as an asset. • Experience in Finance, Operations or FP&A role within a financial services, asset management, wealth management accounting, corporate Finance or Family Office environment is highly desirable. Knowledge & Skills: • Excellent proficiency in MS Excel. • High level of attention to detail (critical skill). • Adaptable and forward-thinking, with an understanding of how technology and AI are reshaping Finance and Operations functions. • Polished and professional, with the presence and communication skills to interact directly with senior stakeholders and Family members. • Client-centric, highly responsive, and hands-on approach. • Well-organized and able to multi-task and keep track of various deadlines. • The ability to develop constructive relationships with peers, clients and service providers. • Entrepreneurial, self-starter; ability to work autonomously within a small team. • Knowledge of accounting systems (e.g. QuickBooks, Sage, or similar systems). • Familiarity with investments is an asset. • Familiarity with accounting principles and double-entry bookkeeping. • Ability to interpret and communicate financial information in a clear and concise manner. • General understanding of different investment types (e.g. stocks, bonds, ETFs, mutual funds, private funds, etc.). • Strong work ethic, demonstrates the ability to work effectively as a team player and independently. • Comfortable operating across a broad range of functions, including finance, operations, and ad hoc requests, in a lean and fast-paced environment . • Given the nature of the business, a high degree of sensitivity to client confidentiality is required.
