Investment Governance Analyst

What is in it for you:
• Hourly salary of $27-29, based on experience.
• 6-month contract.
• Full-time position: 37.50 hours per week.
• Weekday schedule: 8 am-4 pm or 9 am-5 pm.
• Hybrid work, with 3 days per week in the Toronto office.
Responsibilities:
• Support the end-to-end proxy voting lifecycle, including monitoring, reconciliation, and processing of proxy materials to ensure accuracy and completeness across systems and custodians.
• Execute proxy votes on third-party platforms within established deadlines while adhering to market timelines and operational controls.
• Support proxy-related initiatives and seasonal deliverables by tracking milestones, deadlines, and dependencies.
• Coordinate activities with internal teams, custodians, and external vendors to ensure timely completion of deliverables.
• Maintain accurate proxy records and support the preparation of reporting deliverables and regulatory filings.
• Maintain documentation of procedures, requirements, and process changes to support consistency and knowledge sharing.
• Analyze operational data and workflows to identify trends, gaps, and improvement opportunities.
• Translate business requirements into actionable solutions and leverage tools such as Power BI, Power Automate, and Power Apps to enhance reporting, efficiency, and decision-making.
• Assist in applying proxy voting guidelines aligned with corporate governance and ESG principles.
• Support the review of ballot items related to environmental, social, and governance topics according to established guidelines.
• Prepare and maintain data for stewardship reporting, including voting records and regulatory requirements.
• Collaborate with Sustainability, Investment, Governance, Compliance, Legal, Operations, and Technology teams to support proxy voting activities.
• Support updates to proxy voting guidelines, policy documentation, and operational processes.
• Utilize AI technologies to enhance efficiency and consistency in the application of proxy voting guidelines.
• Analyze proxy voting trends and review peer asset manager practices for benchmarking and insights.
• Assist in creating training materials related to proxy processes and guidelines.
• Track milestones and deadlines to ensure the efficient delivery of time-sensitive activities.
• Assist end users with troubleshooting, provide timely resolutions or workarounds, and escalate issues when appropriate.
• Identify opportunities to improve organizational efficiency through new or enhanced processes.
• Measure process improvement outcomes using key performance indicators and metrics.
• Analyze business priorities and provide insights that support value creation.
• Implement automation and workflow improvement solutions using Microsoft Power Platform tools.
• Support organizational change initiatives and provide post-implementation support.
• Build and maintain strong relationships with stakeholders across multiple business functions and global locations.
What you will need to succeed:
• Bachelor’s degree in Finance, Business Administration, Economics, or a related field.
• Exposure to ESG- or governance-related coursework or certification is considered an asset.
• 2 years of experience in investment operations, asset management, data analysis, or a related field.
• Experience in proxy voting, ESG stewardship, corporate governance, or investment operations is considered an asset.
• Experience with data analysis, reporting, and process improvement initiatives.
• Strong proficiency with Microsoft Excel, including formulas, data analysis, Power Query, VBA, and macros.
• Familiarity with SQL, Power BI, Power Automate, Power Apps, SharePoint, and Microsoft Office applications.
• Knowledge of business systems analysis and/or project management.
• Understanding of operational processes, workflow tools, systems development life cycle concepts, and Agile methodologies.
• Exposure to automation tools and workflow improvement initiatives.
• Experience working within asset management environments is considered an asset.
• Strong attention to detail and commitment to accuracy, transparency, and control.
